Overview

Overview: ERP for Hotels & Hospitality

Hotels have two operations under one roof: the guest-facing front office, usually run on a dedicated property management system, and the back of house — purchasing, stores, kitchens, staff and accounts — that too often runs on separate tools.

An ERP unifies the back of house and posts guest charges and revenue from the PMS into the ledger, so owners see occupancy, F&B and departmental profit in one place.

Challenges

Common challenges we solve

The problems we hear most from hotels & hospitality teams.

Problem 01

Purchasing across many departments

Kitchen, housekeeping, maintenance and front office all order separately, with no central approval or price comparison.

Problem 02

Departmental profit is unclear

Revenue from rooms, F&B, spa and events is not matched to departmental cost.

Problem 03

Seasonal staffing complexity

Large seasonal workforces, rosters and overtime are handled manually, with payroll errors.

Problem 04

PMS and accounts are disconnected

Revenue is posted to accounts by hand from the PMS each day.

Problem 05

Asset and maintenance neglect

Preventive maintenance for rooms and plant is tracked on paper, leading to breakdowns in peak season.

Modules

Modules we configure

Standard modules tuned for hotels & hospitality. Custom modules are added where your process needs them.

Module 01

Procurement & stores

Purchase requests by department, approvals, price comparison and central and departmental stores.

Module 02

F&B costing

Recipes, banquet menus, outlet stock and cost of sales by outlet.

Module 03

PMS & POS integration

Daily revenue and folio postings imported from your PMS and restaurant POS into accounting.

Module 04

HR, rosters & payroll

Seasonal contracts, shift rosters, overtime and payroll with WPS files.

Module 05

Maintenance & assets

Preventive schedules, work orders and asset registers for rooms and plant.

Module 06

Finance & reporting

Departmental P&L, budget versus actual and owner reporting with Oman VAT.

Oman

Oman-specific requirements

Local rules and realities built into the system, not bolted on.

  • Handling of Omani tourism levies and municipality fees on guest invoices where they apply, alongside 5% VAT.

  • Seasonal workforce management for the Khareef season in Salalah and peak winter season in Muscat.

  • Support for group and corporate accounts with credit control and statements.

  • Payroll with WPS bank files and Omanization reporting for hospitality roles.

We implement all three and recommend honestly.

Custom ERP

If you need a tailored PMS, channel-manager integration and booking engine, a custom build or specialist PMS integrated with the ERP is the right route.

Custom ERP

Our viewA hybrid usually fits hotels & hospitality best: a packaged core (Odoo or ERPNext) for finance, stock and HR, plus custom modules or portals for what is unique.

FAQ

Frequently asked questions

Straight answers from our Muscat team. Still unsure? Ask us directly.

Ask on WhatsApp
Do you replace our property management system?

Usually not. We integrate with your PMS so front-desk revenue posts to accounts, and only build a custom PMS when a client needs one.

Can it manage several properties?

Yes. Multi-company and multi-property set-ups give per-property books with consolidated group reporting.

Can it handle seasonal staff?

Yes. Fixed-term contracts, rosters, overtime and end-of-service calculations are supported, with WPS files for each payroll run.

Does it manage F&B recipes and stock?

Yes. Recipes deduct ingredients from outlet stores and give cost of sales per outlet and menu item.

Is this suitable for serviced apartments?

Yes. Long-stay billing, utilities recharges and maintenance tracking suit serviced apartments and can share the same ERP as a hotel.
